How it works

How video visits and visit billing work

Video visits are one-to-one, secure, and never recorded. If your practice charges for them, PEPTPlus collects the fee from the patient and pays it to your own Stripe account. PEPTPlus adds nothing to the visit and takes no share of it.

You set the price

In Video visits under Rates & billing you define visit types with either a flat price for a block of time (for example $100 for 30 minutes) or a per-increment rate (for example $40 per 15 minutes, billed in 15-minute steps up to a cap). You also set your cancellation window (72 hours by default), a late-cancellation fee, and a missed-visit fee.

The patient agrees up front

When a patient books, they choose the visit type, read the price and the cancellation policy in plain language, accept it, and put a card on file. Nothing is charged at booking.

The card is held three days before the visit

We place a temporary authorization on the patient’s card three days before the visit, or immediately if the visit is sooner than that. Card networks limit healthcare authorizations to seven days, which is why the hold is not placed at booking. If the hold fails, the patient is emailed to update their card and we retry one day before the visit.

Billing starts when both of you are on the call

When the patient presses Start session they agree once more that billing begins. The clock starts only when you have joined too. A flat visit is charged at that moment. A per-increment visit is charged when the call ends, rounded up to the next increment. Both of you see a live countdown or increment counter during the call.

A patient is never charged for a visit that did not happen. If either of you never joins, the hold is simply released.

Cancellations and no-shows follow your policy

Inside your window, the fee is taken from the hold and the rest is released. Outside the window the hold is released with no charge. A missed visit (the patient never joins) is charged your no-show fee. You can waive any fee or refund any visit with one click from the visit list, and every money event is recorded.

Where the money goes

Visit fees settle directly into your practice’s Stripe account, which you connect once from the Rates & billing panel. Charges appear on the patient’s statement under your practice name.

Emails along the way

  • You: a new request, a cancellation, a reschedule, a request by preference.
  • The patient: confirmation, a reminder the day before, receipts, fee notices, refunds, and a card-attention notice if a hold fails.
